


Job Overview
Outer Banks Conservationists (OBC) seeks an Administrative Coordinator. This is a new role focused on organizing and providing efficiency to a wide range of administrative tasks at Island Farm, in concert with OBC’s main office.
Island Farm is a living history site on Roanoke Island along the Outer Banks of North Carolina that interprets mid-19th century daily life. The site is centered around a circa 1847 homeplace (currently in the process of being listed on the National Register of Historic Places), associated reconstructed outbuildings and is surrounded by ten acres of productive gardens, permanent pasture, and forestland adjacent to the waters of Roanoke Sound.
The homeplace at Island Farm is one the three oldest homes on the island remaining today, and the only antebellum home that is restored to its original condition and open to the public. Daily programming at Island Farm changes seasonally and includes blacksmithing, hearth cooking, traditional gardening, woodworking, historic trades, fiber art demonstrations, wagon rides, and more.
Primary Responsibilities
- Conduct and coordinate administrative tasks between Island Farm and OBC’s main office
- Perform key tasks to implement large events, working with other Farm staff
- Work closely with Island Farm volunteers
- Connect with visitors and supporters through print media and web/social media platforms
- Serve as liaison to and coordinate logistical details with visiting school groups
Job Duties
Administration
- Ensure consistent and clear communication with full-time Farm staff regarding events, scheduling, school groups, and other admin duties
- Coordinate with school and other large groups, including but not limited to general correspondence, scheduling, invoicing, day-of logistics
- Communicate regularly with Farm volunteers
- Recruit additional volunteers as needed for specific events
- Facilitate scheduling with Farm volunteers
- Manage Island Farm calendar for events and groups
- Assist with supply ordering and contractor coordination for Island Farm
- Manage event grants and sponsor communication
- Update and manage Employee Homebase for Island Farm
- Understand the Square Point of Sale system, assist in the Visitors Center when needed
Logistics, Events
- Assist in orienting and outfitting new volunteers
- Provide coordination and assistance for large groups and events through setup, breakdown, scheduling, ordering, and other various logistics
Marketing
- Post programs and events for Island Farm, utilizing a variety of web and social platforms (Facebook, Instagram, Google Business, web)
- Write and submit press releases to local media
- Send monthly e-newsletter to OBC subscribers
- Regularly update Google Business profile
